Overview
Once you've made a booking, you can view, manage, and cancel your reservations through your account dashboard. This guide explains how to access and manage all your bookings.
Accessing Your Bookings
From Your Dashboard
- Log into your Book Community Centre account.
- Click on "My Bookings" or "Dashboard" in the navigation menu.
- You'll see a list of all your bookings, both upcoming and past.
Booking List View
Your bookings are displayed with:
- Facility name and location
- Date and time of the booking
- Status (Pending, Approved, Confirmed, Completed, Cancelled)
- Total amount paid
- Quick actions (View Details, Cancel)
Viewing Booking Details
Full Booking Information
Click on any booking to view complete details:
- Booking Reference: Unique booking ID
- Facility Details: Name, address, contact information
- Date & Time: Selected date and time slot
- Duration: Length of booking
- Attendees: Number of attendees
- Purpose: Your stated purpose for the booking
- Special Requests: Any special requirements you requested
- Pricing Breakdown: Base price, discounts, tax, total
- Payment Status: Whether payment has been completed
- Cancellation Policy: Terms for cancelling this booking
Booking Statuses
Understanding what each status means:
Pending Approval
- Your booking request has been submitted but requires center approval.
- The center will review your request and notify you of their decision.
- You'll receive an email when the status changes.
Approved
- Your booking has been approved by the center.
- Payment will be processed (if not already completed).
- Your booking is confirmed.
Confirmed
- Payment has been processed successfully.
- Your booking is fully confirmed.
- You'll receive a confirmation email with all details.
Completed
- The booking date has passed.
- Your booking is complete.
- You can still view it in your history.
Cancelled
- The booking has been cancelled (by you or the center).
- Refund status will be shown if applicable.
Cancelling a Booking
How to Cancel
- Navigate to "My Bookings" in your dashboard.
- Find the booking you want to cancel.
- Click "View Details" or "Cancel Booking".
- Review the cancellation policy and refund terms.
- Click "Cancel Booking" and confirm your cancellation.
Cancellation Policies
Cancellation policies vary by facility:
- Full Refund: Cancellations made within a certain timeframe (e.g., 48 hours) receive full refund.
- Partial Refund: Some facilities offer partial refunds for cancellations made closer to the booking date.
- No Refund: Some facilities have strict no-refund policies, especially for last-minute cancellations.
Important: Always review the cancellation policy before confirming your booking. The policy is displayed during the booking process and in your booking confirmation email.
Refund Processing
- Refunds are processed automatically for online payments.
- Refunds typically appear in your account within 5-10 business days.
- The exact timeframe depends on your bank or card issuer.
- You'll receive an email confirmation when the refund is processed.
Modifying Bookings
Changing Date or Time
Most modifications require cancelling and rebooking:
- Cancel your existing booking (if within cancellation policy).
- Create a new booking with your preferred date/time.
- Contact the center directly if you need assistance with modifications.
Changing Number of Attendees
- Small changes may be possible by contacting the center directly.
- Significant changes may require cancelling and rebooking.
- Ensure the new attendee count is within facility capacity.
Adding Special Requests
- Contact the center directly to add special requests to existing bookings.
- They'll confirm if they can accommodate your request.
Booking Reminders
Email Notifications
You'll receive email notifications for:
- Booking Confirmation: Immediately after booking
- Approval Status: When your booking is approved or rejected
- Reminder: 24 hours before your booking (if enabled by center)
- Cancellation Confirmation: When you cancel a booking
- Refund Confirmation: When a refund is processed
Managing Notifications
- Ensure your email address is up to date in your profile.
- Check your spam folder if you're not receiving emails.
- Contact support if you're not receiving notifications.
Multiple Bookings
Booking Multiple Facilities
- You can make multiple bookings at different facilities.
- Each booking is independent and managed separately.
- All bookings appear in your "My Bookings" list.
Recurring Bookings
- Currently, each booking must be made individually.
- For regular bookings, contact the center directly to discuss block booking options.
Troubleshooting
Can't Find My Booking
- Check that you're logged into the correct account.
- Verify the booking was completed successfully (check your email).
- Contact support if you can't locate your booking.
Booking Status Not Updating
- Status updates may take a few minutes to appear.
- Refresh your browser or log out and back in.
- Contact the center directly if status doesn't update.
Payment Issues
- If payment failed, your booking may not be confirmed.
- Check your payment method and try again.
- Contact support if payment was processed but booking isn't showing.
Best Practices
Keep Records
- Save your booking confirmation emails.
- Note your booking reference number.
- Keep contact information for the center.
Review Policies
- Always read cancellation policies before booking.
- Understand refund terms.
- Know the center's rules and regulations.
Plan Ahead
- Book early for popular facilities and dates.
- Have backup dates in mind.
- Contact centers directly for special requirements.
